Map the convention campus
Identify the airport, hotel blocks, convention center, off-site event venues, and any scheduled dining or networking destinations. A campus-style program may require several different movements rather than one airport transfer.
Official convention resources can help confirm venue names and district relationships. They do not determine the transportation provider’s pickup process or pricing.
Separate individual and group movements
Note the number of travelers, luggage profile, arrival waves, event start times, and return needs. If attendees need different destinations or vehicle categories, group the requests by actual movement.
For a larger program, designate a coordinator and provide a clean schedule. Avoid collecting attendee data that is not needed for transportation.
Use a reviewable request
A convention request can include airport codes, hotel or venue names, passenger estimates, and vehicle preferences. The business reviews the submitted details before confirming any arrangement.
